Access Tool for Admins

Users who are administrating access and permissions for other users have a tool available on the Assets tab that allows them to do so quickly and easily, known as the "Access" tool.

This tool can be found in the right hand panel within the Assets tab, whenever a folder is selected.

This feature allows you to view who has access to the folder in question, as well as perform some of the same admin features that can be found in the Admin section without needing to navigate away.

When you click Open this panel, you'll notice that it has two tabs at the top, one for Individual Users and one for Teams.

Individual Users


The Participants tab is for managing individual users. This is where you can see which users have access, adjust their permissions, or remove them from the folder entirely.

The Participants tab is divided into three sections: Folder Access, Team Access, and Playlink Only.

  • Folder Access displays all users who were added to the folder directly, as well as the permissions that they have on that folder.
  • The Team Access section shows all users who were added as part of a team, as well as the permission
  • The Playlink Only section lists all users whose only access to this folder is that they have received a Share that includes an asset that lives inside the folder in question

Granting Access to a User

To add a user, simply click on the Add People button.

Then click the user in question, set their permission in the dropdown at the top, and then click Add.

Changing Permissions

The Access panel also allows you to change an individual user's permission on that folder.

To do so, first click on the Participants tab at the top, click the checkbox next to the user who you'd like to change, and then select the appropriate permission from the drop down.


Removing a User

Lastly, you can remove an individual's access entirely by first clicking the checkbox next to their name, then clicking Actions and Remove Access

Note that you're only able to adjust permissions or access this way for users who have been added to the folder directly.

Teams

Switching to the Teams tab at the top enables you to grant access to Teams, or remove Teams from the folder. Note that you're not able to add adjust who is on a Team using this Tool.

Granting Access to a Team

To grant access to a Team, just click the Add Team button

Next, find the Team you'd like to grant access to, click the team name, and then click Add at the top.

If you're unsure who's on a Team and you want to double-check before adding that Team, just click View Team to review that Team's users.

Removing a Team

To remove a Team, just find that Team within the list, check the checkbox next to the name, and select "Remove Access" from the Actions drop down menu.
