Permission Levels



Flow Capture currently has five primary types of access that can be granted to individual users. Click below for a quick overview video, and then review the permissions in detail via the written instructions below.


The table below breaks down what each of those is capable of and also indicates whether something is available as a permission subgroup.

  • ✅ - Available to primary permission level.
  • 🔶 - Available to a primary permission level or a subgroup. Click here for more details 
  • ❌ - Not available to this permission level.

Permissions and Subsets

All of the permission types listed in the above table have sub-types, which allow for more nuanced controls over what a user is able to do. 

  • Company Administrator - The gatekeeper or principal point of contact who will be responsible for managing users and organizing or setting up Productions in Flow Capture across an entire company. As with cooks and kitchens, it is entirely possible to have too many of these, and we recommend keeping as few Administrators at the Company-level as possible.

    Flow Capture can also lock your Company Admins team. This would prevent anyone removing themselves from it or accidentally adding others, in addition to keeping everyone on Company Admins from having their permissions altered. Please note: The ability for Company Admins to create new Productions may or may not be enabled for your Company, as it is dependent on the deal between the Customer and Autodesk. For more information, please contact your sales rep.

  • Administrator - Similar to a Company Administrator, but assigned at the Production level. This type has a narrower scope of permissions than a Company Admin, but like them it's a good idea to limit the number of users with this permission type
    • Administrator (-View/Download) - This works like the standard Administrator permission, but prevents the user from being able to view or download any assets. User management, folder organization and general asset management (upload, delete, move/copy, etc.) are all still available.
  • Downloader - Allows a user to upload and download watermarked files from folders, manage and delete assets and manually update their metadata.
    • Downloader (-Delete) - A modified Downloader that removes the ability to Delete assets. Note this level can still only download watermarked files. 
    • Downloader (+Share) * - This one adds the ability to create and send Playlinks that can have watermarked downloads on top of the standard Downloader permission. Also allows the user to host Rooms sessions. Users with this permission can only share with existing contacts and cannot send to new users. 
    • Downloader (-Watermark) - The same as above, but with the added benefit of being able to download clean, watermark-free assets.

      This is required for a user to be able to download DNx/MXFs and untouched original files, or for video assists to receive files from Flow Capture via the Back to Set option that's part of our Immediates integration with QTAKE. 

    • Downloader (+Folders) - The normal Downloader permission modified to allow the user to create new subfolders within any folders they've been added to.
    • Downloader (+Folders, -Delete) - The regular Downloader permission minus the ability to delete files, but with the ability to create subfolders within any folder(s) they've been added to.
    • Downloader (+Folders, -Watermark) - A modified Downloader permission allowing for the creation of folders and subfolders, but without the ability to download source files or un-watermarked assets.
    • Downloader (+Folders/Share) - Grants the ability to create and send Playlinks that can have watermarked downloads on top of the standard Downloader permission. Also allows the user to host Rooms sessions and create subfolders. Users with this permission can only share with existing contacts and cannot send to new users. 

PLEASE NOTE: For any of the Downloader sub-permissions that include the ability to remove watermarks, it should be noted that this does NOT apply to forensic watermarking.

If forensic watermarking is enabled, regardless of your watermarking settings, all proxies will be forensically watermarked. If you are downloading a proxy it will always have forensic watermarking applied. "

  • Uploader - Allows the user to upload assets to Flow Capture, including in-app screenshots. They can also manage and delete assets and manually update their metadata.
    • Uploader (-Delete) - A modification of the Uploader permission that removes the ability to delete assets.
    • Uploader (+Share) * - Grants uploaders the ability to create Playlinks without the option to download, as well as the ability to create and host Rooms sessions. Users with this permission can only share with existing contacts and cannot send to new users. 
    • Uploader (+Folders) - The normal Uploader permission modified to allow the user to create new subfolders within any folders they've been added to.
    • Uploader (+Folders, -Delete) - The regular Uploader permission minus the ability to delete files, but with the ability to create subfolders within any folder(s) they've been added to.
    • Uploader (+Folder/Share) - Grants the ability to create and send Playlinks on top of the standard Uploader permission. Also allows the user to host Rooms sessions and create subfolders. Users with this permission can only share with existing contacts and cannot send to new users. 
  • Viewer - Allows a user to watch or leave comments on assets in our web, desktop, or mobile apps.
    • Viewer (iOS Offline) - Like a standard Viewer, with the added benefit of being able to make assets available in our iPhone and/or iPad apps for times when they're without, or on a low-bandwidth, internet connection.
    • Viewer (+Share) - A modified Viewer permission that gives a user the ability to to create and send Playlinks, as well as create and host sessions in Flow Capture Rooms.

* All (Share) permission sub-types are unable to add new users. They can only distribute to those who have already been added to a Production by an Administrator ahead of time.
