Uploading from the Assets Tab


When adding assets to Flow Capture, users have a number of options to choose from, including uploading from the Manage Assets —> Upload section, or using Flow Capture Connect's Transfer functionality.

In addition, users can now also upload assets directly to their folder of choice directly from the Assets Tab. This article will take you through the various options to do so, as well as a step-by-step for managing the upload workflow.

Uploading Methods

Within the Assets Tab, there are four unique ways to upload assets:

Using the Upload Button

With a Folder selected on the left, you'll see a button at the top labeled "Upload." Clicking on this will prompt you to select whether you want to upload individual file(s), or an entire folder.

Drag and Drop onto a Folder Thumbnail

When a Folder selected on the left has sub-folders within it, they will be displayed as Folder thumbnails. To upload assets into that Folder, you can simply drag and drop files onto the thumbnail, which will initiate the transfer process.

When inside a Folder, the upload process can be initiated by simply dragging and dropping asset(s) into any blank space inside of that folder.

When viewing the Assets tab, users can initiate an upload by dragging and dropping files into any folder within the folder tree.

Uploading Workflow and Options

No matter which upload method you use, once initiated, you'll be presented with the following dialogue:

Let's take a look at each of the options presented here.

Assets

This lists all of the assets that have been prepped for uploading. If you'd like to add more, simply click the "+ Add" button, and you'll have an opportunity to upload additional assets.

Batch

This lets you select which batch to upload into, and includes an option to create a new batch as part of the upload.

If you don't want to upload assets to a batch, you can select the "Assets" option. This will upload the asset(s) in question but not place them in an initial batch.

*Note: If the asset contains metadata, re-batching by that metadata field will still group any and all assets uploaded as expected.

Metadata Options

This section allows you to select the following:

  • Metadata Sidecar Filetype: You can select what type of file you're uploading for metadata extraction, including ALE, WAV, or Colorfront XML
  • Overwrite Option: When toggled ON, this will inject the metadata information into the corresponding display field on Flow Capture. If this is left OFF, the metadata injection routine will only populate the fields that don't have pre-existing information. 
    • Note: Importing metadata sidecar files will only  result in changes if there's a new value in a given field, meaning that leaving a field blank to try and remove it won't have any effect. 

Notification Options

This section allows you to select who to send notifications to about this upload. Users can select three different options:

  • Notify All Participants (when toggle is ON)
  • Notify nobody (when toggle is OFF)
  • Notify specific users (when toggle is OFF, but individual users are added via the + Select button)

Note: Only participants on the folder where the assets are being uploaded can be selected for notifications. If you'd like to notify others who are not folder participants, you'll need to send them a Share of a Playlist.


Uploading Folder Structures


In addition to being able to upload assets, you also have the ability to upload a complete folder structure. When you do, all assets and subfolders will be uploaded and appear the same way they do on your local drive.

A few things to note:

  • All folders should either contain a sub-folder or at least one asset. Empty folder structures will not be able to be uploaded
  • When uploading a folder structure containing assets, those assets will not get a validation check
  • Users who wish to upload folder structures must have a permission that allows them to create folders. The standard "uploader" permission does not, whereas the "Uploader (+ folders)" permission does.
    • Should you wish to have your permission upgraded to allow for folder structure uploading, please contact your administrator

Batch Options


When uploading assets using this upload workflow, Flow Capture uses now have the ability to choose whether or not they want to upload into a batch.

If you do, you can upload into an existing batch, or create a new one.

If you don't want to upload assets to a batch, you can select the "Assets" option. This will upload the asset(s) in question but not place them in an initial batch.

*Note: If the asset contains metadata, re-batching by that metadata field will still group any and all assets uploaded as expected.

However, it's important to note that Admins have the capability to dictate which of these options are presented to those with uploader permissions.

Admins can choose to always require batches, never allow batches, or make them optional on a per-upload basis.

When uploading, your user interface will adjust to these settings laid out by your admin. Should you wish to have these settings changed, please contact your admin.
